What It Does

This template uses a unique “Tag Attached” trigger for retroactive batch processing. Capture notes throughout your day, then tag them with “tasks” when you’re ready to consolidate into your daily note. All action items from tagged notes flow into a single Reflect daily note—perfect for morning planning or evening review rituals.

Installation Steps

  1. Click Install Template above

  3. Connect your Reflect account
  4. Turn on the Zap
Then use the workflow:
  1. Capture notes throughout your day with action items (checkboxes)
  2. Tag them with “tasks” when you’re ready to consolidate — This triggers the automation
  3. All action items from tagged notes append to today’s Reflect daily note
Key: The “tasks” tag is your automation trigger. This gives you control over when items consolidate, perfect for intentional daily planning and review rituals.

Monday Morning: Emma has 5 customer calls. She voice-records each in Cleft with action items as checkboxes. Monday 4 PM: Emma reviews her notes and tags 4 relevant ones with “tasks”. Customization

In Zapier, you can customize how items appear in your daily note:
  • Prefix: Add ”📋 From Meeting:” before each item
  • Grouping: Group by source note title
  • Timestamps: Include when the note was captured
  • Source links: Auto-link back to Cleft (enabled by default)
Edit the Zap’s “Append to Daily Note” step to customize.
Only certain notes should go to your daily note:
  1. Use the “tasks” tag for action items
  2. Create separate tags for different workflows (e.g., “reflect” for journal items)
  3. Filter by note title or content if needed
This gives you fine-grained control over consolidation.
Create different workflows for different times:
  • Morning planning: Tag notes from yesterday
  • Midday check-in: Tag morning notes
  • Evening review: Tag today’s notes for tomorrow
Use different tags or Zaps to separate these rituals.

Troubleshooting

  1. Zap is ON: Check Zapier dashboard
  2. Correct tag: Verify you’re using “tasks” tag
  3. Checkbox format: Confirm - [ ] text format
  4. Reflect connection: Ensure Reflect is properly connected
  5. Check today’s date: Items append to today’s note only
The template appends to today’s Reflect daily note (when the Zap runs). If you tag an old note today, items go to today’s note—not the note’s original creation date.This is by design for flexibility (you can review old notes and add to today’s plan).
Only tag notes that have action items relevant to your daily plan. If you’re seeing too many:
  1. Be more selective about which notes you tag
  2. Use different tags for different purposes
  3. Create separate Reflect notes for different contexts
